From spreadsheets to clear production workflows: where to start?
You do not have to change everything at once. Start with the information your team spends the most time looking for.
Find out where time is being lost
When the job status lives in a spreadsheet, the drawing in a message and the agreement on paper, every change creates another round of questions. Walk through one real order with your team: where are the documents, who approves a change and how does everyone know what comes next? Note the points where people wait for an answer.
Use one order as the shared starting point
Rather than creating another parallel list, bring the essentials together around the work order: items, operations, owner, deadline and documents. Distinguish customer production orders from internal work. The first goal is for everyone to find the same information without calling a colleague.
Use the data you already have
Existing Excel files can provide a useful starting point for importing products, operations and other supported records. Check codes, units and duplicates before importing. Importing reduces retyping; a little preparation helps keep old inconsistencies out of the new system.
Introduce the change with your team
Choose a small number of real jobs and work through them together, from opening to completion. Ask people where they get stuck.
